2. What is personal data and Processing of personal data

Personal data means any information relating to an identified or identifiable natural person such as full name, postal address, contact information (phone number, mobile number), email etc. Processing means any operation or set of operations which is performed on personal data or on sets of personal data, whether or not by automated means, such as collection, recording, organization, structuring, storage, adaptation or alteration, retrieval, consultation, use, disclosure by transmission, dissemination or otherwise making available, alignment or combination, restriction, erasure or destruction of personal data that have come or will come to the knowledge of the Company, either directly from you through the website or in the context of your trading relations with the company.

3.What type of personal data we collect on our website and how we use it

Mototrend S.A informs its website visitors/users who wish to browse the website, customers or visitors that use the website’s contact form to contact us or book a service, customers that renew their vehicle’s warranties online and the Company’s collaborators-dealers who use the websites, that data which is necessary to fulfill the above requests is collected about you via the Voge.gr, only if you provide this data. In particular, as a minimum requirement the Company collects and processes the following personal data for the following purposes:

• Your full name, telephone number, e-mail address and any message – comments of any kind, when you register and provide them through the contact form of our websites in the field “contact” of our websites in order to contact us for any request / complaint / question.
• Your full name, mobile number, your e-mail address when you enter them in a relevant field on our website  (contact) for online appointment arrangement for service, and specifically through the Service options- “book an appointment at the main service workshop” for the purpose of scheduling a vehicle service appointment.
• If you are one of our dealers, the username and password that you enter in order to be transferred to the ‘’dealers area’’ of the website given that you have been granted relevant access at the inception of our collaboration, for the company’s good operation and the customer’s immediate assistance
• The full name, phone number and contact information you enter via the “fill in the form” to express your interest in testing a vehicle, but also through the “We invite you for free” supplement form for other issues, to contact you at site.
• Your IP address when and wherever you browse our websites for protection against online scams and other illegal activities.

• The frame number of your vehicle and the necessary information for your confirmation and identification to complete the process of extending your warranty, as you enter them in the warranty extension form at voge.gr in the context of the performance of our contractual obligations.

4.Processing of personal data of special categories (“sensitive personal data”)

Mototrend S.A does not basically process your sensitive personal data (special category data), such as data related to your racial or ethnic background, your religious or philosophical beliefs, health data or data relating to your sex life or sexual orientation, since the above data is not necessary for the fulfillment of the above purposes, applying the principle of minimization, necessity and proportionality, as provided for by the GDPR.

As an exception, you may provide your health data when you are filling out the fields of our websites in support of your request, at your discretion and without our request. In this case your consent is obtained for the sole purpose of processing and in order to satisfy your respective request.  It is mentioned that the submission of such data is not necessary for us to serve the main purposes of our activities.

5.What is the legal basis for data processing

Regarding the legal basis of the processing of your personal data, Mototrend SA legally processes your above personal data, which are necessary for specific purposes and in particular with the following legal bases:

1. When the processing is necessary for the service, support and monitoring of our contractual relationship (e.g. sale, service regulation) and the proper execution of our contractual obligations
2. When is required for the Company to comply with its legal obligations
3. Where is necessary to pursue the legitimate interests of Mototrend S.A.
4. According to the prior consent given to us, since processing is not based on any legal bases mentioned above (e.g. for sending a newsletter)

6.Who is the receiver of your personal data

Mototrend S.A does not share with third parties your personal data which collects from its web pages because it respects the privacy of visitors / users of its websites. During our cooperation, only authorized employees of our company, for this purpose only, have access to your personal data, in strict confidentiality. Mototrend S.A may share with third legal parties within the EU, to whom has partially or fully assigned the processing of your personal data (processors) for specific purposes, such as, the support of our websites and data storage for your best service, which Mototrend S.A ensures compliance with the GDPR Regulation processing for the protection of your data, by signing contracts and relevant audits, always corresponding to the provisions of the GDPR (art. 28). The Company also transmits your data to any public services and bodies when is provided by law.

7.How long we keep your data

Mototrend S.A maintains your personal data in accordance with the requirements of the legislation on personal data and its Conservation Policy, in particular for as long as it is provided in each case, for as long as the purpose of each processing requires, as defined by each applicable legal and regulatory framework and in any case for the duration of the transaction between us and its individual contractual obligations. In any case, we apply a maximum retention period of twenty (20) years (General Limitation of claims) with the possibility of extending the above period in case of any form of claim or pending legal dispute or indication of control by public authorities. After this time, they will be deleted in a secure and non-recoverable manner. If you have given your consent, as required above, you have the right to revoke it at any time, with a simple withdrawal statement, which will be addressed to Mototrend SA by completing a rights exercise or an unsubscribe option or by other means, without being affected the legitimacy of the processing which was based on it up to its revocation. You also have the right to be informed of the progress of your application. 8.The security of your data is our personal matter

Mototrend SA ensures that adequate technical and organizational measures are taken to protect both technical and physical safety in accordance with Art. 32 GDPR. The Company has relevant Policies and generally adheres to the principles of processing in accordance with GDPR (Article 5 of the GDPR), to ensure the availability, integrity and confidentiality of your data. Indicatively, it is installed in the Antivirus information infrastructure, Firewall to protect the infrastructure from internal and external threats, encrypt databases, regularly update of the operating systems of information goods, access matrix (rated access per user group), assess vulnerability necessary organizational and technical measures, backups are kept and relevant policies are implemented within the Company for the electronic and physical security of the infrastructure and data protection. In particular, Mototrend SA implements on its websites a secure communication protocol SSL (Secure Sockets Layer) with strong encryption, where the security is enhanced during the transmission of data on the Internet.

9.Your rights and how to exercise them

In any case, you have the control over the processing of your personal data. In particular, in accordance with the provisions of the General Regulation on the Protection of Data of Natural Persons (EU 679/2016), as a subject of personal data processing you retain the following rights:

1. Right to information, communication and modalities for the exercise of the rights of the data subject (art. 12, 13, 14 GDPR), that is, your right to be informed of how your personal data is being used (as detailed in this information).
2. Right to access by the data subject concerning him or her for being processed by the Company as a Data Controller (art. 15 GDPR). The Company as a Data Controller shall provide a copy of the personal data undergoing processing, on request.
3. Right to rectification. The data subject shall have the right to obtain from the controller without undue delay the rectification of inaccurate personal data concerning him or her and the right to have incomplete personal data completed (art. 16 GDPR)
4. Right to erasure (‘right to be forgotten’) without prejudice to the obligations and legal rights of the Company to comply with the laws and regulations in force (art. 17GDPR).
5. Right to restriction of processing of your personal data, where the accuracy of the personal data is contested, the processing is unlawful, the controller no longer needs the personal data for the purposes of the processing but it is not suggested to delete them (art. 18 GDPR)
6. Right to data portability of your personal data. The data subject has the right to transmit those data to another controller where the processing is based on consent and the processing is carried out by automated means or on a contract pursuant (art. 20 GDPR)
7. Right to object on grounds relating to his or her particular situation, in case your data is processed for the purposes of the Company’s legal interests (art.21) and the right not to be subject to a decision based solely on automated processing (article 22)
8. Right to withdraw his or her consent at any time (article 7). The withdrawal of consent shall not affect the lawfulness of processing based on consent before its withdrawal. 10.How to exercise your rights and file a claim

You have every right to exercise your rights by sending an email to info@voge.gr or by sending a letter to our address 56, Vryoulon street, New Philadelphia, PC 14341, Athens, or by completing the relevant application form for the rights we provide here.

Your request should be accompanied by appropriate evidence of personal identification, without prejudice to the Company, to request additional information to identify and confirm your data. The above rights will be considered by completing and sending the relevant form of exercise of rights, as posted on our website and under the explicit instructions given on it.

Mototrend S.A will make every effort to take the necessary action within one month from the date of invocation / exercise of your right on a case-by-case basis, unless the work relating to the satisfaction of the request is characterized by peculiarities and / or complications on the basis of which Company reserves the right to extend the time for completion of the actions. In any case, the Company will inform you about the progress of your request within one month from its submission.

1. States that it does not process personal data from visitors / users of the website under the age of sixteen (16).
2. States that is not liable for any damage (direct, consequential, positive, reserve damage) that may be caused to the visitor on the occasion of the website or its use. The visitor is solely responsible for protecting his system from viruses.
